How to use it

One row per assignment

Add a row for each person on each project. Someone split across two projects gets two rows, so their capacity is never double counted.

  • Person and role
  • Project and allocation
  • Start and end dates

Allocated hours do the maths

In the Excel version, allocated hours per week are a live formula: weekly capacity multiplied by allocation. Change either and the hours follow.

  • Live formula in .xlsx
  • Plain numbers in .csv
  • Ready to fill rows

CSV for any tool

The CSV opens in Excel, Google Sheets, Numbers or anything that reads a spreadsheet. No add-ons and no account.

  • Opens anywhere

When a sheet is not enough

Let the plan keep itself up to date

Capacity from real availability

A spreadsheet cannot subtract holidays and vacations for you. Planara turns work schedules, public holidays and time off into net available hours automatically.

  • Offline holiday database
  • Vacations and time off
  • Per team and per person

An availability-driven Gantt

Instead of static date columns, schedule work on a Gantt where bars are sized by the hours a team genuinely has, with dependencies and milestones.

  • Bars sized by availability
  • Dependencies
  • Day to quarter zoom

Still yours to keep

Planara runs in your browser with no account, and exports the same styled Excel or a portable .planara file whenever you want to share.

Questions, answered

Is the capacity planning template really free?

Yes. Download the Excel or CSV template and use it however you like. There is no sign-up and no email required.

What formats can I download?

An Excel workbook (.xlsx) with a live allocated-hours formula and a short how-to sheet, and a plain CSV that opens in any spreadsheet tool.

What columns does it include?

Person, role, weekly capacity in hours, project, allocation percent, allocated hours per week, start date, end date and notes.

How is Planara different from the template?

The template is a static sheet you keep up to date by hand. Planara calculates net capacity from schedules, holidays and vacations, then schedules work against it on an availability-driven Gantt.

Do I need an account to use Planara?

No. Planara runs entirely in your browser and stores everything locally. Open it and start planning.

Plan capacity without the manual upkeep

Start with the template, or let Planara keep the numbers current for you. No account, right in the browser.
